We ask you to provide only information that is relevant to your enquiry or the provision of services.
Information about health, disabilities and other sensitive information
Some information you may choose to provide, including information about disabilities, health conditions, allergies or other support needs, may constitute special category data under UK data protection law.
This information is collected only where it is relevant to understanding your needs, assessing whether Assistly Salford can safely and appropriately provide the requested services, or providing those services.
Special category data is subject to additional legal requirements. I will identify an appropriate lawful basis under Article 6 of the UK GDPR and an applicable condition under Article 9 when processing this information.
Where explicit consent is relied upon as the Article 9 condition, this will be requested separately from your agreement to the Assistly Salford Terms & Conditions.
You do not have to provide information that is not relevant to the services you are requesting. However, if information necessary to assess or safely provide a service is not provided, I may not be able to provide that service.
Health and disability information will not be used for unrelated purposes such as advertising or marketing.
I will take appropriate measures to protect special category data and will only collect and retain information that is necessary for the relevant purpose.

Information submitted through the New Client Form
The New Client Form is used to collect information needed to understand your enquiry and determine whether Assistly Salford can provide the support you are requesting.
The form may ask about your household, support requirements, disabilities, health conditions, allergies, dietary requirements, communication preferences, pets, children and other circumstances that may be relevant to providing the service.
Some of this information may constitute special category data.
The information you provide will be reviewed by Laura Kemps and used for the purposes described in this Privacy Policy.
Submitting the form does not automatically mean that Assistly Salford has agreed to provide services. Your enquiry will be reviewed and, where appropriate, I will contact you to discuss the service and next steps.
Who we share your data with
I do not sell or rent your personal information.
Your information may be shared where reasonably necessary with:
- Service providers who help me operate the business, such as website, form, email, accounting, payment or document-storage providers
- Professional advisers, such as accountants
- Insurance providers where necessary in relation to an incident or claim
- Funding bodies or relevant organisations where necessary to administer an agreed funding arrangement and where there is an appropriate lawful basis
- A substitute or other person involved in providing services, where necessary and appropriate
- Authorities or other organisations where I am legally required or permitted to provide information
Where another organisation processes personal information on my behalf, I will take appropriate steps to ensure that the information is handled in accordance with applicable data protection requirements.
I will not share your personal information with third parties simply for their own marketing purposes.
Website forms, email and third-party providers
The New Client Form is provided through our WordPress website using Forminator, a form-building plugin provided by WPMU DEV.
Information submitted through the New Client Form may be stored in the website’s WordPress database and may also be sent to the email address used by Assistly Salford to receive enquiries.
The website is hosted by Hostinger. Information submitted through the website may therefore be processed and stored on Hostinger’s systems as part of providing the website hosting service.
Assistly Salford’s email account is also provided by Hostinger. Information submitted through the New Client Form may therefore be transmitted to and stored within Hostinger’s email systems.
Emails may be accessed using email applications including Microsoft Outlook on the Service Provider’s computer and BlueMail on the Service Provider’s mobile phone. These applications are used to access the Hostinger email account and are not the underlying email storage provider.
Once received, information may also be stored on the computer used by Assistly Salford and backed up using Microsoft OneDrive.

Where third-party providers process personal information on behalf of Assistly Salford, I will take appropriate steps to ensure that the information is handled in accordance with applicable data protection requirements.

Comments
When visitors leave comments on the site, we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help with spam detection.
An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it.

Media

How long we retain your data
I retain personal information only for as long as reasonably necessary for the purposes for which it was collected, including where necessary to meet legal, accounting, insurance or other record-keeping requirements.
Different types of information may therefore be retained for different periods.
Enquiries that do not result in a client relationship will normally be deleted or securely destroyed after 6 months, unless there is a legitimate reason to retain them for longer.
New Client Form submissions will normally be deleted from the Forminator/WordPress system after 6 months where the enquiry does not result in an ongoing client relationship.
Client information will generally be retained for the duration of the service relationship and for an appropriate period afterwards.
Financial and accounting records will be retained for the period required by applicable tax and accounting requirements.
Information relating to complaints, disputes, incidents or legal claims may be retained for as long as reasonably necessary to deal with the matter and establish, exercise or defend legal claims.
When information is deleted from my active systems, it may remain temporarily in routine backups, including Microsoft OneDrive backups, until those backups are overwritten or deleted in accordance with the relevant backup provider’s retention processes.
Where information is no longer required, it will be securely deleted or otherwise disposed of.
What rights you have over your data
Depending on the circumstances and the lawful basis being relied upon, you may have rights under data protection law including:
- The right to access the personal information I hold about you
- The right to ask for inaccurate or incomplete information to be corrected
- The right to ask for your information to be erased in certain circumstances
- The right to ask for processing to be restricted in certain circumstances
- The right to object to certain processing
- The right to data portability in certain circumstances
- The right to withdraw consent where processing is based on consent
These rights are not absolute and certain exceptions apply.
If you have given consent to the processing of your personal information, you can withdraw that consent at any time. Withdrawal of consent does not affect the lawfulness of processing carried out before the withdrawal.
